Notonlywhenaskingforsomethingshallawriteradoptpolitewords,butwhenrefusingtherequestthatismadebytheotherparty,politewordsarealsoavailable.Andwhenfacingahardsituation,awriterissupposedtopaymoreattentiononthechoiceofwordstotackletheproblem.
Forexample,ifawriterwantstorejecttheoffergivebytheoppositeparty,hecanwriteasentencelike“weregretthatwearenotinapositiontoacceptyouroffer”.Andifhewantstorejectanorder,hecanwrite:“weregrettoinformyouthatwearenotinapositiontosupplyyouwithsuchlargedemands”.Inthesetwosentences,itisnotadvisabletouse“cannot”or“unable”insteadof“notinaposition”.Thephrases“notinaposition”canshowthesincereattitudeofthewriterandtherespecttohispartner.
